Deferred Exams

Sometimes a student has a compelling reason for not being able to write an exam at the scheduled time. In these situations, the student can apply for a deferred exam.

Process

  1. Deferral requested
    Within two days of a missed exam, the student should advise their instructor of the missed exam and that they are requesting a deferred exam. The student completes a deferred exam request form and emails it to deferredexams@macewan.ca. For Faculty of Nursing courses, email the program chair. The application is reviewed by Exam Services or department chair.
  2. Decision made
    The Request is evaluated based on the Deferred Examination section of the Student Assessments Policy. If denied, the student will receive an email and instructions on how to appeal the decision. Processing time varies according to business of Exam Services Staff and Instructors and may take as long as a week.
  3. New time scheduled
    If approved, Exam Services schedules a date and time for the Deferred exam that does not conflict with the student’s classes or exams. The student (via the student’s myMacEwan email), instructor and department chair are notified of the new date. Students are expected to adjust their schedule to be available for the selected exam date.
  4. Exam completed
    The deferred exam is written at the Exam Services Centre. The department chair or designate is asked to pick up the completed exam. A fee is charged to the student’s account.

Responsibilities

The student requesting a deferred exam, the department chair, the course instructor and Exam Services each have a role to play in the exam deferral process.

  • Complete Part A of the Deferred Examination Request form.
  • Email it to deferredexams@macewan.ca. For Faculty of Nursing courses, email the program chair.
  • Wait to hear from the Exam Services Centre or program chair.
  • If the request is approved, Exam Services schedules a date and time for the Deferred exam that does not conflict with the student’s classes or exams. Students are expected to adjust their schedule to be available for the selected exam date.
  • If the request is denied you will receive an email with instructions on how to appeal the decision.
  • After you write the Deferred Exam fee will be added to your student account.
  • Make a decision about the Deferred Examination Request. (See Student Assessments Policy).
  • Communicate the decision to the student.
  • If the student request is approved, forward the exam and the completed Deferred Examination Request form to the Exam Services Centre. Then complete a grade change form and forward it to the Office of the University Registrar after the exam has been written and graded.
  • Enter a grade of DEF in the student’s record if the deferred request is approved.
  • Follow steps in email sent by Exam Services on how to supply the exam.
  • Pick up the completed exam when notified to do so by Exam Services. You will need to show photo ID when you pick up the exam.
  • Mark the deferred exam and share the results with the department chair.
  • After receiving the Deferred Examination Request form from the student or department chair, process the request and request the exam from the instructor.
  • Once instructor provides the deferred exam, schedule the deferred exam. Email the exam booking confirmation to the student, the instructor/faculty member and the department chair.
  • Apply the deferred exam fee to the student account after the student writes the exam.
  • Notify the appropriate instructor/faculty member when the exam has been completed and is ready to be picked up.
