Travel Administrators

Each department has a travel administrator who supports a travel authorizer by answering travellers’ questions and offering guidance. Travel administrators need to be familiar with several resources that help streamline the travellers’ experience.

Role and responsibilities

TravelTracker (by International SOS) is a tool that travel administrators can use to monitor travellers within their purview. TravelTracker provides a central location for university travel itineraries and enables travel administrators to locate and communicate with travellers instantly.

Go to https://tracker.travelsecurity.com and enter your username and password. The TravelTracker User Guide provides instructions on how to navigate the system.

Travel registration is completed after it has been approved by the travel authorizer and prior to travel. All individuals participating in domestic or international university travel must register their trip using International SOS MyTrips.

Travel administrators may be asked to provide guidance to travellers who are entering or editing trip information in International SOS MyTrips (see MyTrips Quick Guide).

Travel administrators support travel authorizers by answering questions that their travellers may have. They also can provide travel authorizers with details on the following:

  • Current travellers and location of travellers
  • Itinerary details such as date, flight number, hotel, etc.
  • Active travel updates, medical alerts and special advisories
  • Reports of eLearning courses and training completed by travellers

Hotel Security Advisor is a self-service, searchable online information service for sourcing security-assessed hotels as part of a comprehensive travel risk management solution.

This feature is beneficial if a department requires travellers to stay at a “preferred” hotel. Travel administrators with access to the Hotel Security Advisor module can search the database for “preferred” hotels in a country.

If travellers need information on whether an area is safe, they should call the International SOS Assistance Center to inquire.

The International SOS Training Hub allows travel administrators to view and generate reports for eLearning travel courses completed by MacEwan students and employees. Courses cover a wide range of topics, including food and water safety, hotel safety, petty crime and more. Upon course completion, individuals can print a completion certificate.
